Privacy Policy
Last updated September 2026
MarinChess ("we", "us") runs after-school chess programs and camps at schools across Marin County and the San Francisco Bay Area. This policy explains what information we collect through this website, why we collect it, and what choices you have.
If you have questions about anything here, email leo@marinchess.com.
Information we collect
We only collect information you give us directly through the forms on this site. We do not buy or sell personal information.
- Program registration: the parent or guardian’s name, email address and phone number; the child’s first name and grade; the school; and anything you write in the notes field, such as allergies or prior experience.
- Contact and school enquiry forms: your name, email address, phone number, school and message.
- Instructor enquiries: if you contact us about teaching, your name, contact details and anything you tell us about your chess and teaching background.
- Payment: when you pay for a program, card details are entered on our payment processor’s secure page. We never see or store card numbers.
We also receive basic technical information that any website receives, such as your browser type and the pages you visited, used only to understand how the site is being used.
Children’s information
Our programs are for elementary and middle school students, so some of the information we hold relates to children. We collect it from the parent or guardian who registers, never from the child, and we ask for the minimum needed to run the program: a first name, a grade, and any health or support note you choose to share.
We do not sell children’s information, we do not create accounts or profiles for children, and we do not disclose it to anyone outside the people described below. We do sometimes photograph classes and camps for our website and social media; if you would prefer your child not appear, email us and we will note it on the roster. A parent or guardian may ask us to review or delete their child’s information at any time by emailing us.
How we use it
- To confirm your child’s place and send you the day, time and room for their program.
- To build the class roster we share with the instructor and the school.
- To reach you about a schedule change, cancellation or an incident during a session.
- To process payment and issue receipts and refunds.
- To respond to enquiries, including from people interested in teaching with us.
Alongside these, we may email registered families about upcoming sessions at their school. Email us any time and we will stop sending them.
Who we share it with
- The instructor running your child’s program, who needs the roster and any health note.
- Your child’s school, which typically requires a list of enrolled students for its own supervision and safety records.
- Service providers that operate parts of this site on our behalf, such as our payment processor and our email and form provider. They may only use the information to provide that service.
- Authorities, where the law requires it or where there is a safeguarding concern.
How long we keep it
We keep registration records for as long as your child participates and for a reasonable period afterwards so we can answer questions about past sessions and meet our record-keeping and tax obligations. Job applications are kept for one year unless you ask us to delete them sooner. Enquiries are deleted once resolved.
Your choices
You can ask us to show you the information we hold about you or your child, correct it, or delete it. You can ask us to stop contacting you. Depending on where you live you may have further rights, including under the California Consumer Privacy Act. To make any request, email leo@marinchess.com and we will respond within 30 days.
Security
We limit access to registration information to the staff who need it, and we rely on established providers for payment and form handling. No system is perfectly secure, but we take reasonable steps to protect what you give us and will tell affected families promptly if something goes wrong.
Changes
If we change this policy we will update the date at the top of this page. If the change is significant we will let registered families know by email.
